Otter vs Fireflies vs Granola vs Fathom: an honest 2026 comparison

The AI-notetaker market has more or less consolidated around four tools that show up in every shortlist: Otter, Fireflies, Granola, and Fathom. They overlap a lot — automatic transcription, AI summaries, action items — but they win on different dimensions. Here's a non-hand-wavy comparison.

One-line summaries

  • Otter — the most mature, most polished, biggest user base. Best for casual users + in-person mobile recording.
  • Fireflies — best CRM integration story. Salesforce and HubSpot auto-logging is genuinely strong.
  • Granola — the best in-call note-taker if you scribble during calls yourself. Bot-free, captures your laptop audio.
  • Fathom — best free tier. Unlimited recordings on the free plan, plus great video-clip workflow.

Where they overlap (so you can ignore these dimensions)

All four do these well enough that they don't differentiate:

  • Auto-record Zoom, Teams, Meet meetings via calendar
  • Speaker-labeled transcripts
  • Post-call AI summary + action items
  • Email digest after the call

If your needs stop at "transcribe and summarize my meetings," any of the four works. Pick on price.

Where they actually differ

CRM integration depth

Fireflies wins. Their Salesforce and HubSpot connectors are mature — call summary, action items, and conversation analysis auto-log against the right contact and opportunity. Otter has lighter CRM support; Granola and Fathom have none-to-minimal.

Free tier

Fathom wins by a wide margin. Unlimited recordings and AI summaries on the free plan, no credit card. Otter free is capped at 300 transcription minutes/month. Fireflies free is 800 storage minutes. Granola has a limited free trial.

In-call experience

Granola winsfor note-takers. It listens to your laptop audio (no visible bot), and as you scribble notes during the call, it enhances them in place. Lovely for back-to-back calls where you're the active note-taker.

Live answers during the call

This is where Otter, Fireflies, Granola, and Fathom all converge to roughly "not much." They're post-call tools at their core. Otter's AI chat lets you query past meetings after the fact, but doesn't proactively surface answers during a live call. This is the gap that Zynapse Meet was built to fill — but it's a real difference in product philosophy, not a gotcha.

Pricing for small teams

All four are per-seat. For a team of 5+, expect $90–125/month per team if everyone needs paid features. Zynapse Meet is per-account up to the Business tier ($99/month, 150 meetings) — often cheaper for small teams; not cheaper at large team sizes.

Quick recommendations by use case

  • Solo founder, no budget → Fathom (free tier).
  • Sales team running heavy CRM workflows → Fireflies.
  • Back-to-back call note-taker → Granola.
  • General-purpose, casual use → Otter (most polish, mobile is strong).
  • Need live in-call answers from your KB → Zynapse Meet (that's our wedge).

How to actually test

Don't trust comparison tables. Run all four on the same set of 5 real calls over a week. For each, check:

  1. Did the transcript get speaker names right?
  2. Was the summary accurate, or did it confabulate?
  3. Could you find a specific quote three days later in under 30 seconds?
  4. Did your team actually open the summaries?

Most teams pick on point 4. The tool with the best discovery and integration into existing workflows wins, even if its transcription is slightly worse.
