Privacy Policy

Zynapse Meet (“Zynapse Meet”, “we”, “us”) operates the AI meeting assistant available at meet.zynapse.co. This policy explains what information we collect, how we use and share it, and the choices you have. By using Zynapse Meet you agree to this policy.

1. Information we collect

We collect the following categories of information:

  • Account & profile data — your name, email address, organization, and authentication identifiers when you sign up or sign in (including via Google or Microsoft).
  • Meeting content — audio, video, transcripts, summaries, and action items captured by our recording assistant when you invite it to a meeting. Recording is initiated by you or a member of your organization.
  • Calendar data — when you connect Google Calendar (or Microsoft Outlook), we read your upcoming events on a read-only basis to detect meetings and schedule the recording assistant. See the Google user data section below.
  • Uploaded knowledge — documents (e.g. PDFs) and knowledge-base content you add to power in-call answers.
  • Usage & device data — log data, IP address, browser type, and product interactions used to operate and secure the service.
  • Payment data — billing details processed by Stripe. We do not store full payment card numbers.

2. How we use information

  • Provide the core service — join your meetings, record, transcribe, summarize, and surface real-time answer suggestions from your knowledge base.
  • Schedule the recording assistant based on your connected calendar's upcoming events.
  • Operate, maintain, secure, and improve the product.
  • Communicate with you about your account, security, and support requests.
  • Process payments and prevent fraud and abuse.
  • Comply with legal obligations.

3. Google user data and Limited Use

Zynapse Meet’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We request the calendar.events.readonly scope only to read your upcoming calendar events (event time and meeting link) so we can automatically dispatch the recording assistant at the scheduled start time. We never create, edit, or delete your calendar events.
  • We do not use Google user data for advertising.
  • We do not sell Google user data.
  • We do not use Google user data to develop, improve, or train generalized or non-personalized AI and/or machine-learning models.
  • Humans do not read your Google user data except (a) with your explicit consent, (b) where necessary for security purposes such as investigating abuse, (c) to comply with applicable law, or (d) where the data is aggregated and used for internal operations in accordance with applicable privacy laws.
  • We only transfer Google user data to third parties as necessary to provide or improve the feature you requested, to comply with applicable law, or as part of a merger or acquisition with appropriate notice.

You can revoke Zynapse Meet’s access to your Google data at any time by disconnecting your calendar in the app or via your Google Account permissions.

4. How we share information

We share data with service providers who help us operate the product, and to comply with law.

5. Data retention

We retain account data for as long as your account is active. Meeting recordings, transcripts, and summaries are retained according to your plan’s retention window (for example, 90 days on Pro, or a custom window on Business) and are deleted afterward, unless you delete them sooner. Calendar event data is used transiently to schedule recordings and is not retained beyond what is needed for that purpose. When you delete your account, we delete or anonymize your personal data within a reasonable period, except where retention is required by law.

6. Your choices and rights

  • Disconnect calendar — remove Google or Microsoft calendar access at any time from the app's Calendar settings.
  • Access, correct, export, or delete — request a copy or deletion of your personal data by contacting us.
  • Delete meeting data — remove individual recordings, transcripts, and summaries from your workspace.
  • Regional rights — depending on your location (e.g. EEA/UK under GDPR, California under CCPA/CPRA), you may have additional rights to access, portability, restriction, objection, and non-discrimination. We honor these requests as required by law.

7. Security

We use industry-standard safeguards — including encryption in transit, tenant isolation, and access controls — to protect your data. No method of transmission or storage is completely secure, but we work continuously to protect your information and to promptly address any incidents.

8. International data transfers

We may process and store data in countries other than where you live. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers of personal data.

9. Children

Zynapse Meet is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us data, contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you. Your continued use of Zynapse Meet after changes take effect constitutes acceptance of the updated policy.

11. Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences, secure the service, and understand product usage. Essential cookies are required for the app to function; analytics cookies help us improve it. You can control non-essential cookies through your browser settings. Disabling essential cookies may prevent parts of the service from working.
